Project Manager
Overall Responsibility:
The America First Policy Institute (AFPI) is seeking a Project Manager to serve as a high-capacity operational leader supporting multiple departments and external partner organizations. This individual must thrive in a fast-paced environment and operate with urgency, discretion, and strong judgment. This role is designed for a quick-start operator who can immediately step into complex workflows, drive execution across teams, and help manage competing priorities.
Responsibilities and Duties:
Project Management & Execution
- Lead and track multiple concurrent projects across communications, digital, policy, engagement, development, and coalition teams.
- Build and maintain project timelines, deliverables, action trackers, and accountability systems.
- Coordinate with department heads to ensure alignment on priorities, deadlines, and execution.
- Assist in driving cross-department operational efficiency and follow-through.
- Execute special projects directly on behalf of executive leadership.
Digital & Communications Support
- Assist in coordinating digital campaigns, messaging rollouts, content calendars, media preparation, and rapid-response initiatives.
- Work alongside communications and digital teams to ensure projects move quickly and efficiently.
- Help organize internal messaging priorities and execution workflows.
- Coordinate logistics for media appearances, interviews, events, and content production when necessary.
Operations
- Manage and coordinate schedules, meetings, travel, and priorities.
- Serve as the primary point of coordination across internal departments and external stakeholders.
- Ensure briefing materials, agendas, and follow-up items are prepared and executed in advance of meetings.
- Anticipate scheduling conflicts and proactively solve operational bottlenecks.
- Maintain high responsiveness and flexibility during evenings, weekends, and rapid-response situations as needed.
Cross-Organizational Coordination
- Interface with external organizations, coalition partners, vendors, consultants, elected officials, and stakeholders.
- Maintain professionalism and strong communication across high-level relationships.
- Support partnership execution and strategic initiatives involving outside groups and allied organizations.

- Proven ability to manage multiple projects simultaneously under tight deadlines.
- Strong written and verbal communication skills.
- Ability to operate independently with minimal oversight.
- High attention to detail and strong problem-solving capabilities.
- Ability to maintain confidentiality and exercise discretion in sensitive environments.
- Comfortable operating in a fast-paced political, policy, advocacy, or communications environment.
- Strong working knowledge of scheduling systems, project management tools, and communications workflows.
- Ability to quickly adapt to changing priorities and urgent requests.
